Exhibit Space Opportunities

FVC is pleased to offer the opportunity for sponsors, organizations, and government agencies to set up table-top displays as part of its 4th Farmer Veteran Stakeholders Conference.



Exhibit Dates/Times in Salon 1A, 1B

  • November 15, 9 a.m. – 7 p.m.
  • November 16, 7:30 a.m. – 2:30 p.m.

Exhibit Set Up

  • Thursday, November 15, 7 a.m. – 9 a.m.

Exhibit Take Down

  • At the discretion of the individual vendor, but shall be no later than 2:30 p.m., Friday, November 16.


Veteran farmers and veterans pursuing agricultural careers are our primary audience. Other attendees include representatives of state and federal governmental partners, universities, veteran service organizations, farm organizations, farm training programs, and nonprofits working to connect veterans with agriculture. Previous conferences have drawn between 200 and 300 attendees.

Exhibit Space Rates

  • Standard: $1,000 (includes 1 conference registration of $500). Early Bird Rate is $950 by October 15.
  • Nonprofit & Government Agencies: $750 (includes 1 conference registration of $500). Early Bird Rate is $700 by October 15.

Exhibit Space Fee Includes

  • One 30” x 6’ table with black tablecloth and skirting (you are welcome to bring your own)
  • Two chairs, one waste basket per table
  • Complimentary wireless standard internet
  • One full conference registration
  • Exhibitor listing in conference program (if payment received by October 1, 2018)

Space Cancellation or Reduction Policy

50% refund if FVC receives written notice of cancellation by October 15, 2018. No refunds after October 15, 2018. Please allow up to four weeks for delivery of refund. FVC will return payments via the same method of original payment.

Space Assignment and Questions

FVC will assign spaces. If you would like a specific location for your table(s) or have questions, please contact FVC at FVC may at any time change the size or location of the exhibitor’s space or layout of the exhibition if FVC deems it necessary for the good of the show.

Application for Space

Applications for exhibit space are subject to the approval of FVC, at its sole discretion, not to be unreasonably withheld. An exhibitor profile (company description) of specific products and/or services must be provided to FVC upon request prior to the conference. FVC reserves the right to reject applications for space if it is in the best interest of the show.


FVC and InterContinental do not provide security. FVC is not liable for the security of items left on the exhibit hall floor or in an exhibitor space at any time. FVC encourages exhibitors to secure items that can be easily removed or stolen from an exhibit space.

Exhibitor Terms

Each exhibitor shall be responsible for compliance with the Americans with Disabilities Act within its assigned exhibit space. Advertising signs and stunts that are aggressively promotional in nature, intended for use in the spaces, the exhibit hall or the approaches thereto, must be submitted to FVC for approval. FVC must approve any use of speakers or sound devices. FVC reserves the right to approve all displays and to prohibit any display that, because of noise or other objectionable features, detracts from the general character of the exhibit.


The InterContinental does not permit anything to be nailed, posted, or otherwise attached to its walls.
Exhibitors will be liable for any damage caused by fastening to fixtures, floors, walls, or columns of the facility and for any damages to equipment the InterContinental, or its service suppliers, provides.

Conditions of Contract

Exhibitors agree to abide by the contract conditions published in this prospectus and on the FVC website and by all conditions the InterContinental stipulates. Exhibitors accept responsibility for informing all their employees and agents of these conditions and agree they will abide by them as well.


FVC and all persons or entity acting pursuant to FVC’s permission or authority reserves all rights to use any recorded images, audio or video of exhibit spaces and exhibitors to be used by FVC for educational, advertising, and promotional purposes in all conventional and electronic media, and any future media.

Cancellation of Conference

It is mutually agreed that in the event the FVC Stakeholders Conference is cancelled due to acts of God, war, strikes, government regulation, or advisory (including travel advisory warnings by the government or World Health Organization), civil disturbance, terrorism, or threats of terrorism as substantiated by government warnings or advisory notices, curtailment of transportation, epidemics, disaster, fire, snow storms, tornados, power outages or any other comparable conditions necessitating the canceling of the exhibit, FVC may refund any monies paid in advance.
